After upgrading to CashBook 2003, my previously unpaid invoices are not posting any tax to the Tax Control account.

Question

After having upgraded from CashBook V8 to CashBook 2003, I now find that any invoices which were created in the previous version and are now being paid in the new version, are not posting any tax to the Tax Control account. Also, when entering the invoice payment, the actual oustanding amount of the invoice is reduced by the amount of tax on the invoice.

Answer

This problem will be experienced by anyone who has upgraded a CashBook V8 file, which has oustading invoices at the time of the upgrade and is running on Cash Basis for GST purposes i.e. had an Invoices/Receivables account set to Cash Basis reporting in CashBook v8.

In order to correct this, it is necessary to restore a copy (or backup) of the file which was made in version 8 i.e. PRIOR to upgrading. Open this file in CashBook V8 (which may need to be re-installed) and go to the Customer Invoices account. This is accessed by going to the Lists menu, and then to Accounts. Then double-click on the Customer Invoices account.
Once the invoices/receivables account register appears, click on the Report drop-down button and select Unpaid Invoices. Print this report.

Now you will need to locate and open each one of these unpaid invoices. Once the invoice is open, locate any tax codes which are used the invoice and remove them. Normally these will be either S or F. If you have invoices with a combination of both codes, it may be a good idea to print these invoices for future reference, before removing the tax codes.

Once the tax codes have been removed, make another backup of the file and restore this file in CashBook 2003. Once restored, open the same unpaid invoices and re-enter the tax codes which were previously removed. save the changes to each invoice and the GST on these will now report correctly.
