Empdupe file fails validation with a number of errors

Question

Why does my EmpDupe file fail validation?  I get a number of errors but the last one is:

Please contact your software developer.

The record length field must be ‘628’ characters but we found an illegal character at position ‘2’.

Answer

Check the upper section for the following lines:

Records ProcessedA+B records;

Number of errors:  A

Number of warnings: B

Where A and B are numbers;

And the number of employees in the file are:  A + B - 1.

 

An incorrect entry has been made in the Company Information fields of Reckon Accounts Business which has resulted in a misalignment of information in the digit string for employees in the EmpDupe file.

The most common source of this error is an incorrect entry in the Branch Number box of the Company Identification field.

 

Solution

1.    Company > Company Information > Company Identification

2.    The Tax Rego ID line has two boxes:

a.    The first and longer box for your ABN number;

b.    The second and shorter box for the Branch Number.

3.    The Branch Number field must be either blank or contain 3 numerical digits;

4.    In most cases the Branch Number field can be left blank.  The EmpDupe file will insert the digits 001;

5.    If you enter a number in the Branch Number box, then it must be entered as 3 digits.  Enter 2 as 002.

6.    Check that all information in the Legal Information and Payroll Tax Form Information sections are complete and correct;

7.    Click OK to save and close

8.    Recreate your EmpDupe file and upload to the ATO.
