Overflow appears in account balances and reports

Legacy KB ID: 4391

Question

Why do some reports show *Overflow* where a number should appear?

Answer

*Overflow* will appear in place of a number when:

  • A number that exceeds exceeded the total limit (approximated $4.3 billion - $4,294,967,296.00) for the cell.  This error is more commonly experienced in multi-currency files using a foreign currency with a large exchange rate (eg Indonesia, approx 9,000).  This is a limitation of the software.
  • A minor corruption with a transaction.
  • Failure to display correctly.

Workarounds

Large amount involved

  1. Split the transaction into multiple transactions so that the amounts are below the cell limit.
  2. If creating a new file, consider using a different basis than single units for the foreign currency – like thousands (‘000) or millions (‘000,000).  You will need to adjust the exchange rate accordingly to ensure the AUD value will remain the correct amount.

Amount is small:

Double click on the transaction that produces the first *Overflow* entry and refresh it by:

  • Adding a full stop into the memo field; or
  • Changing an entry and changing it back.

The report should display correctly.

Failure to display correctly

The report may be failing to display properly.

Export the Report to Excel and see all the correct amounts:

  1. At the top of the report click on Export
  2. Select: a new Excel workbook
  3. Click Export.
