Using the My Files tool in the New Hosted Platform: Upload, Download, and Search Guide

About My Files

The My Files tool is a file management dialogue that lets you add, view, delete, and upload/download one or multiple files at once. It opens in the root directory, displaying the folders for Q Drive (Personal drive) and B Drive (Backup drive) as well as a Temporary Files folder. Click on your Q folder to start managing your files and folders.


Always store your files on your personal Q Drive and use the B Drive for Reckon Accounts Hosted backups. Files outside these folders are automatically deleted after each session.
The main change in the new platform is that files are now stored in the directory selected by the user during the Upload File action, instead of defaulting to the Upload folder.

This also applies to backup file types that were previously uploaded to the B Drive.


Allowing Upload/Download permission

When accessing Reckon Accounts Hosted in the new platform for the first time, your browser may show a pop-up to allow actions from appstream2.ap-southeast-2.aws.amazon.com. If no pop-up appears, you may need to manually adjust these settings in your browser.


These settings can be changed anytime in your browser preferences.

As an example, to allow Pop-ups and redirects for printing, users may need to do the following:

  1. Using Google Chrome, go to Settings > Privacy and security
  2. Select the Site permission for appstream2.ap-southeast-2.aws.amazon.com
  3. Find Pop-ups and redirects and set to "Allow"



Understanding Files and Folder icons

There are currently only two kinds of visual icons available on the My Files tool.

Files

This includes all the file types that are not Folders, such as:

  1. Reckon Accounts Hosted files: Company files, Backup/Portable files
  2. Export files: ABA, STP (JSON), SAFF, CSV, XML, XLSX, PDF, IIF, etc


Files are denoted by a page icon in portrait with a folded edge on the top right. For example:

These are folder types that include Shared Folders.

Folders are denoted by a folder icon. For example:

Uploading your files

Using the Upload file(s) button
  1. Click on My Files > Q Drive
  2. Select the location where you want to upload your files into.
  3. Click on the Upload file(s) button. This will open your local File Explorer for navigation. Locate the file(s) you want to upload to Reckon Accounts Hosted.
  4. Select one or more files, then click on Open to start the Upload


Using the drag-and-drop method
  1. Click on My Files > Q Drive
  2. Select the location where you want to upload
  3. From your local File Explorer, locate then select the file(s) you want to upload to Reckon Accounts Hosted.
  4. Hold your left click button and drag-and-drop the files over to the Drop zone of the My Files tool.


Tracking uploading progress

The progress is no longer shown as a bar, but as a count of upload status. This is displayed next to the Refresh icon (e.g., 1 of 6 files). Once completed, the file will appear in the My Files dialogue, otherwise, click the Refresh icon to update the contents displayed.

During the upload process, you can close the My Files tool to continue working.

You also would need to wait for the upload to complete before you can upload the next set of files.



Downloading your files

The Download action is only currently available for file types.

Downloading backups
  1. Click on My Files > B Drive
  2. For one file, simply click on the backup and your browser will prompt you for the next action.
    This action and download location is dependent on your browser settings.
  3. For more than one file, mark all the files you wish to download
  4. Then, click on Actions > Download.
    Your browser will prompt you for the next action. This action and download location is dependent on your browser settings.


Downloading other files
  1. Click on My Files > Q Drive
  2. As mentioned above:
    1. Simply click on the file to download one file, or
    2. Mark the checkboxes, then go to Actions > Download for multiple files



Search function

A search field is available in the My Files tool. Currently, this will only perform the search function within the current folder contents, but not subfolders.


When going to folders, it will display the breadcrumb path and allows navigation when selected.
