Legacy KB ID: 1832

Question

When attempting to login into a company file I receive an error message stating that you cannot open this file. When you view details its Crash.dmp and crash.xml information that is stated. Other users of the file can log in without any problems. How can this be resolved?

Answer

This is caused by the Admin user having their desktop preferences set to "Save current desktop when closing company". If they have a memorised report open, which may have been upgraded, and then close QuickBooks it will save the desktop. At this stage, if the report is corrupt then the error message will appear each time that user attempts to login due to the program trying to open the memorised report.

If your file is NOT on a network share do the following:

Note - When opening the file for the first time you may be prompted to enter a LOGIN and PASSWORD enter your details but DO NOT press Ok just yet, refer to step "1." below

  1.  On your keyboard press and hold down the 'ALT' key and then while holding this key press the 'OK' button
  2.  Once the database is open, from the file menu select 'Edit' -> 'Preferences' -> 'Desktop View' then 'My Preferences'
  3.  Edit the preference 'Save Current Desktop when closing Reckon Accounts' and change this to 'Don't Save'
  4.  Log in to company file under the corrupt user, prior to pressing the OK button to login hold the "ALT" key  on the keyboard until QuickBooks opens
  5. Go to edit preferences and turn the desktop preference from "Save current desktop when close company" to don’t save
  6.  Alternatively it is a good practice not to use Admin for transactions but to create another user account with Full access

If your file is on a network share do the following:

 1. Copy the file from the network share and place it on your desktop

Note - When opening the file for the first time you may be prompted to enter a LOGIN and PASSWORD enter your details but DO    NOT press Ok just yet, refer to step "2." below

 2. On your Keyboard press and hold down the 'ALT' key and then while holding this key press the 'OK' button

 3. Once the database is open, from the file menu select 'Edit' -> 'Preferences' -> 'Desktop View' then 'My Preferences'

 4. Edit the preference 'Save Current Desktop when closing Reckon Accounts' and change this to 'Don't Save'

 5. Close Reckon Accounts and move the database from your desktop back to the network share where it was originally located, you will be asked if you wish to overwrite the file, select 'Yes'

 6. Now open Reckon Accounts and open the data file you just moved.
