Leave not accruing on part of an hour worked

Question

My employee works 37.5 hours, but leave is accrued only for 37.0 hours.  Why?

Answer

Payroll Premier accumulates leave according to the accrual unit specified (Every hour/week/pay).  It will calculate leave only on a completed unit. 

If you have set the ‘Period’ in the Accrual Details section of the employee’s leave Tab to ‘Hour’ and the ‘Every’ to 1.00 (one hour), then only completed hours will accumulate leave. 

 

Solution

If you have part hours in the total hours worked and you are accruing leave ‘every one hour’, you will need to change the ‘Every’ unit to that part hour.  For example:

·         If you regularly show half-hours, then ‘Every’ should be set to 0.5;

·         If you regularly show quarter-hours, then ‘Every’ should be set to 0.25;

·         Where employees have a mix of decimals, you must choose a decimal common to all – it may be as small as 0.10.

 

You will need to adjust the ‘Accrue Hrs’ to the amount accrued over that fraction.  For example, if 1 Hour accrues 0.07692 hours of leave, then:

·         0.50 hours will accrue 0.03846

·         0.25 hours will accrue 0.01923

·         0.10 hours will accrue 0.00769
