Data Services: Recommendations for Reckon Accounts Hosted

Below are steps you can do yourself or something you can get the Hosted Technical Support Team to assist you with which will be a positive step towards keeping your data file in good shape.

1) Generate reports such as the following:

  • Trial Balance
  • Balance Sheet
  • Customer Balance Summary
  • Supplier Balance Summary
  • Open Invoices and Unpaid Bills

This will help confirm that the figures are as you expect them to be, such as the debits values are equal to the credit values, that your outstanding money in or out is as per your expectations

  • Save a copy of these as PDF or Excel files and save them with clear file names indicating the report and date they were created.
  • Having a collection of reports that you can refer to as snapshots of the figures at that point in time can be useful.

2) Make a backup of the company data file that includes complete verification option enabled.

  • Depending on the extent of changes you may make to the file such as the volume of data entry, this can be done daily, twice a week, weekly, monthly.

The backups created will be useful for troubleshooting purposes and as a safeguard in the event that a crash results in the current file not being openable.

[Note For larger files]

It may be faster to take 'snapshots', instead of using the built-in backup function of the Reckon Accounts Hosted for your daily backups.

These snapshots are just copies of your actual company data file (QBW). 

You can create sub-folders like "Day 1", "Day 2", "Week 1", "Week 2", etc. in the Hosted B: or Q: drives

In the example below you can see 4 folders for each week in a month created on the Hosted B: drive and inside each week folder are some day folders.

You can also create a sub-folder to store each end-of-month snapshot copy.

To make a copy of a file:

i. Click on the file once so that it is selected

ii. Press the CTRL key and C key together to make a copy

iii. Press the CTRL key and V key together to paste that copy to a new location

These QBW copies can be placed in those user-created folders within your Hosted B:\ drive or also downloaded to your local computer C:\ drive or external USB device.

For the "End of week" backups, these can be done using the built-in backup function that includes the complete verification.
