Setting up Bin Locations for Inventory Items
Legacy KB ID: 4318
Question
How do I set up Bin Locations for inventory items
Answer
Bin Location systems help warehouses to identify the exact location of an inventory item, whether it be a bin, a shelf or some other geographical marker.
QuickBooks does not have a separate field for a Bin Location.
You can utilize Custom Fields and assign one field to Bin Location.
Please Note: If you are also using Retail Point of Sale, you will not be able to define a Custom Field as all Custom Field options are commandeered by POS.
Be aware that any Inventory Custom Field created by the user before commencing with Retail POS will be overwritten when the POS database is created.
In these instances you will need to look at alternative methods.
Workaround
Defining a Custom Field for Bin Locations.
1. Lists > Item List > right-click on an Inventory Item > select Edit Item
2. Click on Custom Fields button
3. Click on Define Fields button
4. Tick the first available USE box and enter a name in the Lable box, like Bin Location
5. Click OK
6. This custom field will be available for all items, inventory and others.
To enter details of a Bin Location:
1. Edit an inventory item
2. Click on Custom Fields
3. Enter a name for the Bin Location field;
4. Click OK.
Alternatives
Use another field on the Inventory item card, like:
· Manufacturer’s Part Number
· Custom Field – Price 2
· Custom Field – Price 3
· Item prompt
If any of these fields are not available then you will not be able to use Bin Locations.
To view the Bin Location on the Item List screen
1. View > Customise Columns
2. In Available Columns select Bin Location fields and click Add>>
3. Bin Location will now appear in the chosen Columns box. Highlight it;
4. Use the Move Up button to move the field to your desired location;
5. Click OK to save.
6. You should now see the Bin Location on the Item List screen.
