Cannot upgrade Retail POS database file when moving to a new PC

Question

I have acquired new PCs for my Retail POS network.  When I go to upgrade the file onto the new PC it fails with the error: 

The Accounts data file ‘C:\Documents and Settings\All Users\Documents\Intuit\ Quickbooks\Company Files\xxxxx default folder .QBW cannot be found. 

 

Answer

Upgrade files to the latest version on the original PC.  Then move files to the new PC.

 

The Issue

The POS upgrade process looks for the QuickBooks/Accounts Business company file in the location specified on the old PC.

When you upgrade a backup created on an older PC like XP that has a different default path (C:\Documents and Settings\All Users\Documents\) than a newer PC like Windows 7 (C:\Users\Public Documents\), the upgrade process looks for the company file in a location that does not exist. 

The upgrade fails.

 

Workaround.

Upgrade to the latest version on the old PC then move to the new PC.

  1. Upgrade to the latest versions on the old PC and create a backup of the company file and the POS database file (POS.PDB).  Do not upgrade other Terminals at this stage. 
  2. Uninstall Accounts Business and POS from the old PC;
  3. Install Accounts Business on the new PC and activate with the Sample file;
  4. Restore your company file backup;
  5. Install POS on the new PC;
  6. Restore your POS.PDB backup;
  7. Repoint the location of the company file:
    1. Administrator > Tools > Options > General tab > Accounts;
    2. Change the Data file location.
  8. Upgrade other Terminals to the latest POS version

Your POS datafile should now open on the Administrator PC and other Terminal PCs..
