Please confirm that the issues that you raised no longer occurs before forging ahead and continuing to use the reconstructed data file. 

Any re-work necessary to resolve any issue previously raised will be done on our copy of the reconstructed data file.

If you have entered a significant volume of new data into the file (which you do not wish to re-do) and there are new issues raised or found it will require additional investigation and may require new quote options.

Passwords

Create a record of all the data files and their associated Admin user passwords and when changes are made to these passwords. 

What is the recommended procedure when changing passwords? 

You need the Administrator password when upgrading your data file in Reckon Accounts Hosted or Reckon Accounts business range                                                                                                                                          

 

 Backup and File Maintenance

The person who accesses the data file as the Admin user is the one responsible for creating a backup of the data file and performing file maintenance.

Make a backup of all your data files at regular scheduled intervals. 

Perform data file backups with full verification enabled.

This gives added peace of mind that the backups saved are error-free.

Consider making a backup before making any major changes such as external data import, password changes, etc.

  • A daily backup at the end of the day
  • An end of week backup
  • An end of month backup
  • We recommend keeping multiple copies of your backup sets in different physical locations.
  • Consider having a physical backup on-site as well as an off-site or cloud backup.

Test that your backups can be restored successfully.

Maintaining your own set of backup files gives you added flexibility in choosing a course of action in the event of an unforeseen problem occurring.

The Reckon Accounts software has built-in file maintenance functions called "Verify Data" and  "Rebuild Data".

By creating a backup with completed verification enabled, you ensure that the backup being stored is error-free. If an error is detected, then use the Rebuild Data function to try to fix it.
