About the STP Phase 2 Migration Assistant

The Reckon Accounts STP Phase 2 Migration Assistant is the easiest way to get your business ready for the switch to STP Phase 2. It steps you through all the items that you need to review or additional information in line with the ATO’s guidelines.

The Migration Assistant will step you through the information you will need to add, review, or edit your Employee details and Payroll Items to be STP Phase 2 compliant.



New menu entries are added on the Employees menu to:

  • Extract the Employee List and Payroll Item List from the Company file
  • Open the Migration Assistant and load the extracted data
  • Import the updated data back to the Company file
ACCOUNTANT'S COPY
Payroll Items and Payroll Information are not allowed to be modified in an Accountant's Copy. Similarly, the Migration Assistant is not designed to work with this feature.


The Migration Assistant is a six-page utility that divides relevant topics to each section, guiding users on what needs to be revised or updated. This is to ensure that the business is STP Phase 2 ready before processing the first pay in Reckon Accounts 2023 and reported to the ATO.

The aim is to ensure that:

  1. Employee details are updated with their relevant Tax Category, Medicare Levy variation, etc
  2. Payroll Items' Tax Tracking Types are updated in accordance to the disaggregation of gross payments



Getting Started

It is recommended that a Company File backup is created before and after performing the migration.

In Reckon Accounts 2023, new menu entries are available on the Employees menu to launch the Reckon Accounts STP Phase 2 Migration Assistant window.

  1. Go to the Employees menu
  2. Select STP Phase 2 Setup and there are two further options:
    1. Launch STP Phase 2 Setup – selecting this option will extract your active Employee List and Payroll Item List, then open the Migration Assistant window.
    2. Complete STP Phase 2 Setup – once you have completed your setup from the Migration Assistant window, select this option in Reckon Accounts to import your changes back to your Company file.


If Complete STP Phase 2 Setup is selected when the Setup has not occurred yet, the following dialogue will appear.

Overview

The Migration Assistant is a six-page utility that divides each topic to their respective sections:

  1. Welcome/Resume Page
    1. Opening page and more information about the Migration Wizard
    2. Resume functionality for users to be able to continue where they left off with data previously changed still present

  1. Prepare Employee Details – lists all active Employees and STP Phase 2 field requirements to be set i.e. Income Type
  2. Prepare Gross Wages Items – lists all active Earning items to update the relevant Tax Tracking Types
  3. Prepare Allowance Items – lists all active Addition items to update the relevant Tax Tracking Types
  4. Prepare Leave Items – lists all active Leave items to update the relevant Tax Tracking Types
  5. Completion page – final page of the Migration Assistant with information on what was not included in the utility and the next steps.


Example

Launching and Welcome Page
  1. Upgrade a 2022 Company file to the Reckon Accounts 2023 version
  2. Go to Employees > STP Phase 2 Migration Assistant > Launch STP Phase 2 Setup
  3. A Working dialogue may appear depending on the size of your extracted Employee and Payroll Item lists


  1. Then, the Reckon Accounts Phase 2 Migration Assistant will appear


  1. Click Begin, and it goes to the next page Prepare Employees – Employment Details


Prepare Employee Details
  1. From the Welcome page, click Begin to go to Prepare Employees – Employment Details page
  2. You have the option to:
    1. Update employees individually
    2. Update for a group of employees

  1. For a group of employees, place a tick on each row on the table
  2. Then set the STP Phase 2 fields to update, i.e.:
    1. Income Type: SAW – Salary and Wages
    2. Medicare Levy Surcharge: 1.00%

  1. Click Apply



Prepare Gross Wages Items

  1. From Prepare Employees, click Next to go to Prepare Gross Wages Items page
  2. You have the option to:
    1. Use Pre-fill Suggestion feature
    2. Use the bulk update feature
    3. Update each payroll item individually using the dropdown
    4. Leave the Current Tax Tracking Type

  1. Click on Pre-fill Suggestions button to get suggested Tax Tracking Type for your items


  1. For bulk update, place a tick on multiple payroll items, then select the Tax Tracking Type to use on the right
  2. Click Apply


Prepare Allowance Items
The existing Tax Tracking Type from STP Phase 1 are transitioned to STP Phase 2 for Allowances.

  1. From Prepare Gross Wages, click Next to go to Prepare Allowance Items page
  2. For bulk update, place a tick on multiple payroll items, then select the Tax Tracking Type to use on the right
  3. Click Apply


Prepare Leave Items

  1. From Prepare Allowances, click Next to go to Prepare Leave Items page
  2. You have the option to:
    1. Use Pre-fill Suggestion feature
    2. Use the bulk update feature
    3. Update each payroll item individually using the dropdown
    4. Leave the Current Tax Tracking Type
  3. Click on Pre-fill Suggestions button to get suggested Tax Tracking Type for your items


  1. For bulk update, place a tick on multiple payroll items, then select the Tax Tracking Type to use on the right
  2. Click Apply


Finish page

  1. From Prepare Leave, click Next to go to Finish page
  2. Take note of the information provided on-screen


  1. Then, click on Finish and the following dialogue will appear


Completing the Setup

  1. Back in Reckon Accounts, go to Employees > STP Phase 2 Migration Assistant
  2. Select Complete STP Phase 2 Setup
  3. A dialogue will appear when changes have been imported successfully
  4. Click OK
