Prepare Employee Details: Validations based on selections

This is a list of known validation messages for the Prepare Employees – Employment Details page of the Reckon Accounts STP Phase 2 Migration Assistant.

The following messages will be encountered when a criterion is met and the Apply button is selected.

The following validation error messages are based on the interpretation of the ATO's Business Implementation Guide and Validation Rules.
Tax Codes generally remains unchanged for employees. However, if you need to make changes to employees in Reckon Accounts, the Migration Assistant session would need to be restarted.

General

VALIDATION MESSAGE

REASON

No rows are checked.

To apply updates to employee(s), one or more rows must be checked.

Please check one or more rows before clicking 'Apply'

No employee row was marked for selection.

Missing value for Income Type.

An Income Type is mandatory for each employee.

Please select an Income Type before clicking 'Apply'

Income Type is blank.

Only one type of Medicare Levy variation is allowed for an employee.

Medicare Levy Surcharge (MLS) and Number of Dependants cannot be set at the same time.

Please enter a value for only one type of Medicare Levy variation

Both Medicare Levy Surcharge and Number of Dependants are set.

Invalid setting of Medicare Levy variation.

Medicare Levy Surcharge (MLS) and/or Number of Dependants cannot be set for an employee with Tax Code: '5-FullML' (Full Medicare Levy Exemption).

Please clear the value(s) before clicking 'Apply'

Medicare Levy Surcharge or Number of Dependants cannot be claimed for an employee claiming Full Medicare Levy Exemption.

Missing Home Country value.

Home Country must be provided for a Working Holiday Maker (WHM) employee.

Please specify the Home Country before clicking 'Apply'.

A Home Country is mandatory for Working Holiday Maker employees.

Missing value for Contractor ABN.

A Contractor ABN is required for an employee assigned the 'VOL - Voluntary Agreement' Income Type.

Please enter a valid Contractor ABN before clicking 'Apply'.

A Contractor ABN is mandatory for employees under Voluntary Agreement.

The supplied Contractor Australian Business Number (ABN) is invalid. Please enter a valid Contractor ABN.

Invalid Income Type

VALIDATION MESSAGE

REASON

Invalid Income Type selection.

The 'WHM - Working Holiday Maker' Income Type is only permissible for an employee with Tax Code: '4-No TFN' (Foreign residents with no TFN) or '8-No TaxC' (Custom).

Please review your selection before clicking 'Apply'.

The Income Type “Working Holiday Maker” can only be set for Foreign resident employees with no TFN provided or with Tax Code: “8-No TaxC”.

Invalid Income Type selection.

The 'SWP - Seasonal Worker Programme' Income Type can only be set for an employee with Tax Code: '8-No TaxC' (Custom).

Please review your selection before clicking 'Apply'.

The Income Type “Seasonal Worker Programme” can only be set for Foreign resident employees or with Tax Code: “8-No TaxC”.

Invalid Income Type selection.

The 'VOL - Voluntary Agreement' Income Type can only be set for and employee with Tax Code: '8-No TaxC' (Custom).

Please review your selection before clicking 'Apply'.

The Income Type “Voluntary Agreement” can only be set for employees with Tax Code: “8-No TaxC”.



Invalid Tax Category

'Actor' Tax Categories can only be set for an employee with Tax Code: '8-No TaxC' (Custom).

The STP Tax Category: “Actor” can only be set for employees with Tax Code: “8-No TaxC”.

Invalid Tax Category selection.

'Horticulturist/Shearer - TFT
' Tax Category can only be set for employee(s) with Tax Code: 4-No TFNr (Resident with no TFN) or 8-No TaxC (Custom).

Please clear your selection before clicking on Apply.

The STP Tax Category: “Horticulturist/Shearer – TFT” can only be set for employees with Tax Code: “8-No TaxC”.

Invalid Tax Category selection.

'Horticulturist/Shearer -
Foreign Res' Tax Category can only be set for employee(s) with Tax Code: 3-NonRes (Foreign resident with TFN), 4-No TFNn (Foreign resident with no TFN), or 8-No TaxC (Custom).

Please clear your selection before clicking on Apply.

The STP Tax Category: “Horticulturist/Shearer – Foreign Res” can only be set for employees that are Foreign resident with/without TFN, or Tax Code: “8-No TaxC”.

Invalid Tax Category selection.

Seniors/Pensioners - Single and Member of a couple Tax Categories can only be set for an employee with Tax Code: '5-FullML' (Full Medicare Levy Exemption), '6-HalfML' (Half Medicare Levy Exemption), or '8-No TaxC' (Custom).

Please update the value before clicking 'Apply'.

Single and Members of a couple Seniors or Pensioners is only applicable to employees claiming Full or Half Medicare Levy Exemption, or Tax Code: “8-No TaxC”.

Invalid Tax Category selection.

'Seniors/Pensioners – Illness Separated' Tax Category can only be set for an employee with Tax Code: '8-No TaxC' (Custom).

Please update the value before clicking 'Apply'.

The STP Tax Category: “Seniors/Pensioners – Illness Separated” can only be set for employees with Tax Code: “8-No TaxC”.



Invalid Medicare Levy Surcharge (MLS)

VALIDATION MESSAGE

REASON

Invalid setting of Medicare Levy Surcharge (MLS).

MLS cannot be set for an employee with Tax Code: '3-NonRes' (Foreign resident) or '4-No TFNr' or '4-No TFNn' (Australian/Foreign resident with no TFN).

Please clear the value before clicking 'Apply'

Medicare Levy Surcharge cannot be claimed for:

  1. Foreign resident with/without TFN
  2. Australian resident with no TFN

Invalid setting of Medicare Levy Surcharge (MLS).

MLS cannot be set for an employee with Tax Code: '6-HalfML' (Half Medicare Levy Exemption).

Please clear the value before clicking 'Apply'

Medicare Levy Surcharge cannot be claimed for an employee claiming Half Medicare Levy Exemption.



Invalid Number of Dependants

VALIDATION MESSAGE

REASON

Invalid setting of Number of Dependants.

Setting Number of dependants is not permissible for employees with Tax Code: '1-NoTFT' (No Tax-free threshold claimed), '3-NonRes' (Foreign resident), or '4-No TFNr' or '4-No TFNn' (Australian/Foreign resident with no TFN).

Please clear the Number of Dependants value before clicking 'Apply'

Number of Dependant cannot be claimed for:

  1. No Tax-free threshold claimed
  2. Foreign resident with/without TFN
  3. Australian resident with no TFN

Invalid setting of Medicare levy variation.

Number of dependants: Spouse only is not permissible for Seniors/Pensioners - Single Tax Category employee(s).

Please clear the value(s) before clicking 'Apply'

A Single Senior or Pensioner cannot set the Number of Dependants as Spouse only as they are single.

Invalid setting of Number of Dependants.

Number of Dependants cannot be set for an employee with the 'Seniors/Pensioners - Illness Separated' Tax Category assigned.

Please clear the value before clicking 'Apply'.

An Illness Separated Senior or Pensioner cannot set a Number of Dependants.
