Reckon Accounts Business Range desktop or Reckon Accounts Hosted - Start a new file with no transaction history using the Clean Up Company function

In some situations, it may be necessary to create a brand new data file that does not have any transaction history.

This may be due to the existing data file size being very large or a need to make a new data file to be used as a template for a new company, etc.

One way to facilitate the creation of a 'new' file that has no historical transaction information would be to use the built-in "Clean Up Company Data" function that removes all the transactions, yet retains all existing lists, price levels, preferences, user list, memorised transactions and memorised reports.

Lists are the records in the Chart of Accounts, Items, Customers, Suppliers, Employees, Other Names, etc.

Transactions are records such as bills, bill-credits, bill payments, cheques, deposits, estimates, general journals, invoices, purchase orders, sales orders, sale receipts, payments (for invoices), pay cheques, etc.

1. Open the data file (QBW) that you want to use as the basis for the new data file.

2. Click on the File menu

3. Then click on the Utilities menu

4. Then select the Clean Up Company Data menu

5. Choose the "Remove ALL transactions" option

Proceeding with this process will result in a data file that contains all of the existing Lists, Price Levels, Preferences, Memorised Reports and also retain the Memorised Transactions.

You will be able to keep an existing copy of the original data file that contains all of the historical transaction data.

You can make use of the new smaller file as the new day-to-day data file.

You will need to re-create any open/outstanding invoices and bills, any unapplied payments.

You will need to create adjustment journals to adjust the opening balances for accounts.

You will need to create inventory adjustment journals to adjust the quantity on hand for stock items.
