Customer Search does not return results for Price Levels or Billing Rate Levels

Legacy KB ID: 4023

Question

Why won’t Reckon Accounts list the customers that fit my search on a Price Level name or Suppliers for Billing Rate Level name?

Answer

Reckon Accounts cannot search the field called Price Level on the Additional Info tab of the Customer Profile.

To have a Price Level appear in Searches and in Reports configured to show the Price Level, you must have a Custom Field created in that name.

The following workaround describe the steps to take for Customers.  Similar steps are required for Suppliers and the Billing Rate Level.

Workaround

To create a custom field called Price Level:

  1. On the Customer Profile, click on the Additional Info tab;
  2. In the Custom Field area click on Define Fields
  3. In the Label column, on the first available line, enter the name: Price Level
  4. Tick the box under Customers:Job and click OK
  5. Enter the relevant Price Level name in the Price Level field of the Custom Fields area
  6. Click OK when finished.

If your file already contains Price Level information but not in the Custom Fields’ Price Level box:

  1. Note the line number of the Custom Fields’ Price Level box (for example, line 1)
  2. Export the Customer List to an IIF File:
    1. File > Utilities > Export > Lists to IIF files;
    2. Tick Customer List and click OK;
    3. Save the file to a convenient location like the Desktop;
  3. Open the IIF with Excel
  4. Scroll down to the start of the Customer name block.
    The first line will be a title line for the customer data and the cell in Column A will be called !CUST
  5. Scroll across to the last column which is titled Price Level and copy the cells of this column (highlight the range and press [CTRL] + [C])
  6. Paste the contents to the CUSTFLD column that corresponds to your line number (e.g., for line 1, CUSTFLD1)
  7. Save and close the file, ensuring that you maintain the file in the IIF format
  8. Import the file into your company file:
    1. File > Utilities > Import > IIF files
    2. Select your file and click Open
  9. The updated Customer information will now import and place the appropriate Price Level into the Custom Fields Price Level box.
