Company File is corrupted when importing Accountant’s Changes

Legacy KB ID: 4206

Question

Why is my company file corrupted when I import the Accountant’s Changes?

Answer

You may experience this issue if the accountant makes a direct change to the Tax Amount on a transaction.  When you attempt to import the Accountant’s Changes, the file corrupts.

Before you import the Accountant’s Changes QuickBooks will make a backup of your company file.  If a corruption is detected, QuickBooks will immediately start the Restore Backup process.

Note

Advise your accountant that no changes be made to Tax Amounts directly.  With Tax Invoices, Bills and Write Cheques, where the option Amounts include Tax is unticked, the accountant can change the Price and Amount columns that will impact on Tax Amount.  Accountant’s Changes will the successfully import into QuickBooks.

Workaround

Either,

Accountant to redo his changes, ensuring that any changes to the Tax Amount column is made through changes to Price or Amount.  Where Tax Amount must be changed directly, these changes should be omitted from the Accountant’s Changes and made directly to the company file by the user.

Or,

Print out the Accountant’s Changes Report, cancel the Accountant’s Copy, and update and input transactions to the company file directly.

How did we do?
