View Only Role with Memorized Report List permission of None, allows access to reports in Reckon Accounts

Legacy KB ID: 5267

Question

Why can a User with a View Only role with Memorized Report List permission of None, still see and access these reports?

Answer

Although the Role has the Memorized Report List’s view status set to None, the user can still see the list.  Whether the report can be selected will depend on whether the user has permissions to view the selected reports.  By Default, the View Only Permission has Partial: view permissions assigned so the user can access those reports.

Workaround

Create a new View Only Role with permissions to all reports view set to None.

1.    Company > Users > Setup Users and Roles > Role List

2.    Select the View Only role and click on Duplicate

3.    Give it a new name like No Report View

4.    Click the + (plus sign) next to Reports.

5.    Open each category and select the None access Level

6.    Click OK when finished

7.    Select your user and assign the new Role.

The User will still see the Memorized Report List but will not be able to view any of the reports, nor view any report from the Reports Menu.

If you wish to give a user view access to some reports, duplicate the No Report View role and add the categories required with the appropriate access level.
