Alternative backup options for a large data file on the Reckon Accounts Hosted platform

If you encounter the issue of the Hosted platform timing-out whilst a backup and verify process is taking place, you could perform that backup process on your local desktop computer with an installed copy of the single-user Reckon Accounts Enterprise software.

As a Hosted user you are eligible for a single-user desktop installation licence.

1) Once you have a single-user Enterprise licence and have installed it successfully, download a copy of your current company data file (QBW) from the Hosted platform to your local computer

2) Create a folder where you can store these downloaded QBW files on your hard disk drive

Do not initially store onto an external USB drive or DropBox or cloud storage linked folder, you can do so later.

With these backup folders, create a sub-folder for each time that you download a copy of the QBW from the Hosted platform

Give each folder a unique clear label that let you know when that copy of the file was downloaded

Example:

D:\Backups\2024 Nov\Week 1

D:\Backups\2024\Nov\1st

D:\Backups\2024 November\01

You can organise these folders as you prefer.

3) Once you have the file in the appropriate folder, you can perform a backup operation that includes a 'Complete verification'

Store that backup in the same folder as the QBW file you had downloaded.

This give you a QBW file, a QBB file on the local desktop computer AND the existing current file on the Hosted platform.

You can choose to also save the QBB on an external hard disk or to your preferred cloud storage location, such DropBox, Google Drive, or even upload it to your Hosted B: drive.

4) If there are no errors detected and a backup is able to be created successfully then this confirmed that the file that is on your Hosted account is error-free and you can continue using it.

5) If there are errors detected, the we recommend that you:

Stop all work on the data file that is on the Hosted platform and follow the steps below.

i. Perform a Rebuild Data operation on the copy of the file that is on your local computer.

ii. Once the rebuild has completed, perform another Verify Data operation to confirm that there are no further errors detected.

iii. If there are no further errors detected then make a backup of the file.

iv. If the backup is successful, ensure that you upload the reconstructed good QBW file back onto the Hosted

v. If there are still errors detected then contact the Technical Support Team for further troubleshooting advice.

Let them know that the Verify and Rebuild operation was being performed on a local copy of the data file on your computer using an installed Reckon Accounts Enterprise single-user software.

If the problem can be resolved on the local computer, then you need to ensure that you upload the reconstructed good company data file (QBW) back onto the Hosted platform to replace the one that is still there with an existing problem.

NOTES:

The backup process should include the "Complete verification" option.

It is important that a the complete verification be performed as it is not a good idea to store a backup of a data file that has existing problems.

If the file verification function "Verify Data" function detects a problem, the built-in "Rebuild Data" function would need to be used.

If after a rebuild operation is performed, a subsequent verify operation still detects a problem then you should contact the Technical Support Team.

This file verification along with the large file size is the greatest contributing factor to the time it take for the backup to be completed.

The other contributor is having a TLG file that is large, in some cases significantly larger than the actual company file itself.

How to improve performance by resetting the TLG file

If you are going to use the removal of the TLG file to improve performance and speed of the backup process, then you should ensure that a COPY of the QBW is saved off the Hosted platform onto your local computer.
