Edit pay templates

Learn how to edit pay templates in Reckon One.

This feature is available on Reckon Payroll Plus and Premium plans.

What you can edit

You can edit the pay template name, classifications and pay items. You cannot change the employment agreement that the pay template is based on.

Edit pay template name and classifications

  1. In the Payroll menu, select Payroll Settings, then Pay templates.
  2. Select the pay template.
  3. Edit the template name and edit or delete classifications as required. You can only delete classifications if there are no employees assigned to the pay template who are on that classification.
  4. Select Save then Cancel to close the pay template if you're finished editing, or Save & continue to edit pay items in step 2 of the wizard.
Changes made to pay templates do not automatically flow through to the pay setup of the employees using the template. You will need to update to the latest pay template in the employee record.

Edit pay items in a pay template

Edit pay items in step 2 of the pay template wizard. To get there:

  1. In the Payroll menu, select Payroll Settings, then Pay templates.
  2. Select the pay template.
  3. Select Save & continue to move to the Pay items screen.
  4. Edit existing pay items or to delete a pay item, select the delete bin. Select Save then Cancel to close the pay template if you've finished editing, or Save and continue to go to step 3 of the wizard: Employees.
Changes made to pay templates do not automatically flow through to the pay setup of the employees using the template. You will need to update to the latest pay template in the employee record.

Update employees to the latest pay template

To ensure any changes made to the pay templates flow through to the employee pay setup, you must update each employee to the latest pay template. This will overwrite any existing pay profile information.

  1. If you're already in the pay template wizard, click on the eye icon next to the employee in Step 3: Employees to go to the employee's profile.

Alternatively, in the Payroll menu, select Employees, then select the employee from the list. A red dot against the employee's Pay tab will indicate that updates are required.

  1. Go to the Pay tab.
  2. There will be a banner indicating that the pay template has been changed and the employee is on the older version. The employee's pay template status will also show as Out of date. Select Update to latest pay template.
  3. Select Update to latest pay template in the confirmation message.
