Integrate with upgraded Hosted file

Reckon Cloud POS integrates with Reckon Accounts Hosted Australia and New Zealand versions. 

You will have to specify which product version you are on when you setup your integration with Reckon Accounts Hosted. This option is only available when you integrate with Accounts Hosted for the first time (or after when you reset).

 

Reckon Accounts Hosted gets updated twice a year:

Reckon Accounts Hosted Country Version

Month

Reckon Accounts Hosted New Zealand

March

Reckon Accounts Hosted Australia

June

 

There is a transition period during tax time (for both Australia and New Zealand) when 2 versions of the same Reckon Accounts Hosted Country product is available.

For example:

  • Between end of March and April, you will have access to 2 versions of Reckon Accounts Hosted New Zealand (2018 R1 and 2019 R1)
  • Between end of June and July, you will have access to 2 versions of Reckon Accounts Hosted Australia (2018 R2 and 2019 R2)

 

However, once you have upgraded your company file to an upgraded version, you cannot open it in the previous version of Hosted. After you have upgraded your file, if you have integrated your Reckon Cloud POS store with Reckon Accounts Hosted, you will need to update the integration settings to be able to connect to your upgraded company file (Reckon Accounts Hosted 2018 R2 upgraded to 2019 R2 for example).

 

Product Version

When you integrate your Reckon Cloud POS store with your Reckon Accounts Hosted Company file, you get the below Product version drop down options. Choose the product version that you use to login to your company file in Reckon Accounts Hosted.

 

When we are in the transition period, you will see 2 products in the drop-down. Once the transition period is over, you will only see 1 option available. 

 

New Integration with Hosted

If you are integrating your Reckon Cloud POS with your Hosted company file for the first time, then perform the below steps:

  1. Login to your Reckon Cloud POS Store Management System
  2. Integrate your Store with your Reckon Accounts Hosted. Click here to view the instructions
  3. Ensure you choose the right Product version, depending on which one you are using to access your company file via Reckon Accounts Hosted application.
  4. For example: if you have upgraded to Reckon Accounts Hosted 2019 R2, then choose AU - ACCOUNTS 2019 R2 

 

Existing Integration with Hosted

If you have integrated with Reckon Accounts Hosted already and need to change your product version, then perform the below steps:

  1. Login to your Reckon Accounts Hosted product 
  2. Open your company file with the username that you use to connect from Reckon Cloud POS. See the step 8 for reference.
  3. You will get the below pop-up screen. Click on the tick box so that this does not show up anymore.
    It is very important that you complete this step otherwise you may get error when connecting/posting transactions to your Hosted company file since the API access might not be able to close your session due to this pop-up screen
  4. Ensure that the company file is in multi-user mode (File > Switch to multi-user mode)
  5. Close your company file
  6. Login to your Reckon Cloud POS Management System
  7. Go to PREFERENCES > Accounting Software
  8. Next to Reckon Accounts Hosted > click on the settings icon > Reset
     
  9. Turn on Hosted integration again by clicking the Yes toggle and go through the process
  10. Ensure you choose the right Product version, depending on which one you are using to access your company file via Reckon Accounts Hosted application.
    For example: if you have upgraded to Reckon Accounts Hosted 2019 R2, then choose AU - ACCOUNTS 2019 R2 
  11. Ensure you enter the username and password details of the user that you used to login to Hosted to remove the pop-up screen in step 2
  12. Complete the integration steps and you will be connected to your Reckon Accounts Hosted company file
  13. You can now post your transactions to your Hosted company file

 

What happens if I don't turn off the pop-up message?

If you do not turn off the pop-up message's reminder, then you might get the below error message:

“Error accessing your Reckon Accounts company file. The user account used to connect is either logged in to your company file already, or the username or password details are wrong. Please resolve before trying again.”

You will then have to wait for 30 minutes before the session gets cleared from our database. Then login to your Reckon Accounts Hosted company file and perform step 3.
