The Print Window appears when using Send Forms to Email Statements

Question

Why does the Print Window appear when I use Send forms to email statements?

Answer

This problem is likely to arise when you

  • close the “Select Forms To Send” window that opens after you have selected your statements to email but have not send them;

·         have non-alphanumeric characters in your company file name.

    • eg: my-company-file-P/L.qbw

 

The correct method for emailing statements is to send them immediately after selecting them.  In the "Select Forms to Send" window, leave all statements ticked and click on Send Now.  Do not close this window or QuickBooks before all the statements have been sent.

Please note that if you have already statements waiting to be sent in the “Select Forms To Send” window, then they have to be removed before any newly generated statements can be emailed.

 

Your company file name should not contain non-alphanumeric characters.

 

Detailed Instructions                  

Remove non-alphanumeric characters in your company file name.

  1. In Windows Explorer, browse to your file directory;
  2. Highlight your company file name, right-click and select Rename;
  3. Remove non-alphanumeric character or enter a new name using letters and numbers only:
    1. EG, rename my-company-file-P/L.qbw to mycompanyfile PL.qbw

You should not experience the problem now.

Note:  the computer file name is independent of the file name inside QuickBooks under Company > Company Information. 

 

Emailing Statements

Firstly, search for and delete all qbprint.qbp and wpr.ini files found.  

To delete the QuickBooks print files

1.      In Windows Explorer browse to:

a.    Windows 7 & Vista:  C:\ProgramData\Intuit\QuickBooks 20xx-xx\

b.    Windows XP:  C:\Documents and Settings\All Users\Application Data\ Intuit\QuickBooks 200xx-xx\

2.    Delete qbprint.qbp and wpr.ini

3.    Windows 7 & Vista need to browse to C:\Users\All Users\Intuit\QuickBooks 20xx-xx\ and delete the qbprint.qbp and wpr.ini files there as well. 

4. Windows 10 and 11 need to browse to C:\ProgramData\Intuit\Reckon Accounts 20xx and delete the qbprint.qbp and wpr.ini files there as well. 

Note:  xx refers to the year version of QuickBooks.

 

Switch emailing preference to display each email before sending:

          i.                                        Edit > Preference > Online > Company Preferences

         ii.                                        Tick the box Display each email when sending more than one

        iii.                                        Click OK to save

        iv.                                        Now send the remaining statements

 

Delete outstanding emails in Select Forms to Send

1.    File > Send Forms

  1. If you have other forms to sent (eg Invoices, Remittance Advices), send those forms.

3.    Take note of statements waiting to send

4.    Highlight each email and select Remove

5.    When all outstanding emails have been removed, click on Close.

You can now generate your statements again. 

 

 

If you cannot remove an email from the Send Forms list

One or more emails are corrupt and will prevent other emails sending.  Corrupt emails do not appear in the list so you will not know how many corrupt emails you have.

1.    Exit the Select Forms to Send window.  This will delete the first corrupt email.

2.    Create a flag file to use as an end-of-list marker in Send Forms to Email list.

Create another statement for a customer and email to yourself.    When this email appears in the Send Forms to Email list you will know you have reached the end of the list and that there are no more corrupt emails. 

3.    Go to send another email:  File > Send Forms > then click ESC.  The next corrupt email will be deleted.

4.    Repeat Step 3 as many times as you have corrupt statements.  You have reached the end when your flag file appears.
