Memorised Reports do not upgrade

Legacy KB ID: 3625

Question

Why do I lose my memorised reports when I restore my backup from the previous version of Payroll Premier to the latest version?  I did select Backup my Reports option when I created the backup.

Answer

Although Payroll Premier will upgrade an earlier version backup, it will not upgrade the memorized reports contained in the backup.

To ensure that your memorised reports are carried over to the latest version you must use the Upgrade Wizard to upgrade your data file.

Detailed Instructions:

  1. With Payroll Premier closed, move your datafiles to another directory
    1. The default location for datafiles is C:\QPRollvXX\data\ where XX represents the version of your Payroll Premier;
    2. Do not move the sample file: sampleco.qpw;
  2. Launch the latest version of Payroll Premier and open the sample file:  Sampleco.qpw;
  3. On the top menu line click on Wizard and select Upgrade from previous version;
  4. Read the information on each screen and click Next;
  5. If you have already used your data file in the new version, then on the relevant screen untick the box Upgrade Data Files and leave the box Upgrade Reports ticked.
  6. If you get an error: Invalid Key.  C:\QPRollvXX\Data\OldRpt.dat key is not valid.  Do you want to rebuild the key? select Yes;
  7. On the screen that contains a table of your data files and reports, select the data files and reports you wish to upgrade;
  8. On the last screen click Finish to exit the Upgrade Wizard.

You should now be able to open your upgraded datafile and use the memorized reports.

If upgrading from a 2008/09 (version 17) and earlier

When you open the upgraded file for the first time in a version 18 and later version, another upgrade wizard will commence to modify your data file for superannuation changes introduced on 1/7/2009.  Verify the information on each screen and click Next to move to the next screen.  On the last screen click Commit Changes to complete the upgrade.

Additional Information

An alternative method to get your memorised reports is to manually copy the Reports files from the old version data directory to the latest version data directory:

1.    Close Payroll Premier

2.    In Windows Explorer, navigate to your old version data directory: C:\QPRollvX0\data\

3.    Highlight the following files, right-click and select Copy:

a.    Reports.k01

b.    Reports.k02

c.    Reports.dat

d.    Reportde.k01

e.    Reportde.k02

f.     Reportde.dat

4.    Go to the data folder of the latest version:  C:\QPRollvX1\data\, right-click on the white background and select Paste to copy the files.  If you are asked to overwrite existing files, select Yes.

5.    You now have the memorised reports from your previous version.
