Reckon Accounts Desktop: File size does not decrease after performing Clean up Company Data

Legacy KB ID: 3602

Question

Why does my company file size not decrease after running Clean Up Company Data?

Often the condensed file is slightly larger.

Answer

Before attempting a Clean Up Company Data, please ensure you try "Other steps you can take to reduce your company file size".
Clean Up Company Data can permanently damage your Reckon Accounts Company File and may, in certain circumstances, make it unrecoverable to even Data Recovery.
As always, if your data is damaged in any way, shape, or form, we strongly recommend restoring a backup from before you performed the Clean Up Company Data function.

We have found that creating a Portable Company File after Clean Up Company Data (condensing of data file) then restoring it will reduce the file size, the exact amount depending on the structure of your company file.

A further reduction can be achieved by creating another Portable Company File and restoring it.

Additional Note

The Condense Data function itself does not reduce the file size of your company file – this is a phenomenon of the SQL system.  However, the process will improve the efficiency of the file so that the file opens and processes transactions much faster, as if it were a smaller file.

When an SQL datafile is created, a specific amount of that datafile is reserved to store transactions.   When a threshold for transactions is reached the reserve for transactions will be increased by a predetermined percentage.  This will increase the file size.  When transactions are condensed the reserve is not reconfigured and the file size will remain the same.  Adding new transactions will not increase the file size until the threshold set before Condensing is reached.

It is the space taken by the condensing function that may result in a small increase of file size after condensing.
