Importing an IIF file fails with error: “missing required TAXABLE field”

Question

Why does the import of an IIF file created in QuickBooks 2007/08 into a QBi edition fail with the error:  “error on Line 4: missing required TAXABLE field”?  This IIF file imports into a 2007/08 file.

Answer

The structure of the IIF file of a QBi edition (2008/09 onwards) is slightly different to earlier editions (up to 2007/08) of QuickBooks due to the introduction of the two-tiered tax system – Tax Codes and Tax Items.  QB 2008/09 and 2009/10 will only accept IIF files that have a TAXABLE column.

 

Workarounds

*****  This issue has been resolved in QuickBooks 2010/11.  *****

Depending on the contents of your IIF file, you may still get the error displaying.  Click on OK for each instance of the error and Quickbooks will continue with the import.  At the end of the import the message “Your data has been successfully imported” will be displayed.

 

Creating a new company file in a QBI series QuickBooks from an IIF file created in a pre-QBi series company file:

     1. Create a new file in QuickBooks 2007/08 and import the IIF file.

     2. Upgrade the QuickBooks 2007/08 file to your QBi edition.


To import an IIF file created in a pre QBi edition  into a 2008/09 or 2009/10 QuickBooks company file

The import fails because the TAXABLE column is not present for the Items List.  To insert the Taxable column into the IIF file:

1.     Open the IIF file in Excel

2.    Carefully insert a new column for TAXABLE:

a.    In the INVITEM section, move the entire block from Column P one column to the right.

b.    Name Column P as TAXABLE.

c.    Enter Y in the first cell of Column P and copy down the column for the INVITEM section. 

3.    Save the IIF file – CARE: maintain the format in IIF.

4.    Import the IIF file into your QBi series company file.
