Microsoft Outlook Warning: A program is trying to send an e-mail on your behalf

Legacy KB ID: 3928

Question

I continually get a Microsoft Outlook warning every time I send an email from Payroll Premier:

A program is trying to send an e-mail message on your behalf. If this is unexpected, click Deny and verify your antivirus software is up-to-date.

I click Allow and the email sends.  How do I stop getting this message every time?

Answer

The warning you are receiving is a normal function of Microsoft Outlook, designed to protect you from malicious programmes sending emails on your behalf or accessing your Contacts list.

The feature can be bypassed.

The following workarounds are provided as a suggestion only.  Users should consult their IT professional on the security implications and impact on other programmes of turning off the feature.  Users should also consider whether these measures will breach company security policies.

Workaround 1:  Install an anti-virus programme

Under certain conditions, installing an anti-virus programme and keeping it updated regularly might prevent this security warning from appearing again. The anti-virus programme must meet the following conditions:

  1. be compatible with Microsoft Windows XP Service Pack 2 (SP2). Check with your antivirus software vendor.
  2. be updated regularly. Most anti-virus programs enable you to get automatic updates when you are online. Check with your antivirus software vendor.
  3. is configured to share its update status with other applications. Typically, anti-virus programmes share their update status with other applications by default. To check the update status setting, look in the preferences or options for your anti-virus programme, or check with your anti-virus software vendor.

Note:  Office Outlook 2007 relies on the Windows Security Center to check for the presence of the anti-virus programme and update its status.  If your anti-virus software subscription expires or has been inactive, you might get the security warning again when a programme attempts to access Outlook.

Workaround 2:  Modify the Microsoft Outlook Trust Centre

Warning:  turning off this security feature may make your PC vulnerable to sending emails from unauthorized programmes.

1.    In Microsoft Outlook, click on Tools, Trust Center then Programmatic Access

2.    Click on Never warn me about suspicious activity

  1. Click on OK to save and close.

You will not get the warnings when sending emails from Payroll Premier.
