Legacy KB ID: 3950

Question

How do I set up Payroll Premier on a network to be accessed by several users?

Answer

You must use the Setup Network Data Path function inside Payroll Premier

Detailed Procedures

Before you start:

1.    Purchase a Payroll Premier multi-user license

2.    All PCs accessing the data file must have Payroll Premier installed and registered.

3.    Setup a folder on the File Server or Host PC that will contain the Payroll Premier data files and associated application files

4.    Share this folder.

Setting up the Network Data Path:

1.    On the main PC start-up Payroll Premier, open the Sample File, and then the data file you want to share.

·         If you want to share more than one data file, then open all files that need to be shared and leave the last file opened.

2.    On the top menu line click on File > Setup Network Path.

3.    Untick the check box Use Existing Files located at the Server Path

·         The two checkboxes in the Select Options will change colour from grey to black and will be ticked.  Do not untick these boxes.

4.    Click on Browse > Network > Browse > navigate to the shared folder for your Payroll Premier data files, select it and click OK then Finish.

5.    Click Save and the Datafile, Tax Scales, and Reports will copy to your shared folder.

6.    On the top menu line and again select File > Setup Network Data Path and click Save.

7.    The ‘Please Select Company File’ will open.  You will see all files copied to the network path.  Select your data file and click Open.  Payroll Premier will now default to this file each time the program is opened.

Configure other PCs to use the Network Data Path

1.    Open Payroll Premier on the other PC.  The Sample file will open.

2.    On the top menu line click on File > Setup Network Path.

3.    Leave the check box Use Existing Files located at the Server Path ticked.

4.    Click on Browse > Network > Browse > navigate to the shared folder for your Payroll Premier data files, select it, and click OK then Finish.

5.    Click Save to save the Network Data Path.  The last data file used will open.

6.    When you click on File > Open Existing company, you will see the data files in the shared folder.

7.    Repeat these steps for all other PCs needing access to the shared folder.
