You cannot open data file in AU version error when upgrading to Retail POS 2012/13

Question

Why do I get the error “You cannot open data file in AU version” when I upgrade my Retail POS database to 2012/13?

Answer

Rename your older version QuickBooks company file, or, upgrade directly to Point of Sale 2013

 

The Issue

You will get this error if you have saved your upgraded QuickBooks company file that syncs with Retail POS to a new location.  Retail POS still has a reference to the original location which is now a different year version and cannot be opened.  In 2012/13 the error message will contain a reference to “AU version”.

 

Workaround 1:

Upgrade directly to Point of Sale (formerly Retail POS) 2013.

Note that you will need to upgrade QucikBooks to Accounts Business 2013 first.

 

Workaround 2:

Rename the older version QuickBooks company file by adding the number 1 to the end of the name. 

When Retail POS tries to contact its designated QuickBooks company file, it will not find it.  The POS Admin will then prompt you for the company file location. 

 

Workaround 3:

Create a new Database file:

  1. Create a new Database file:
    1. In Windows Explorer, go to C:\users\Public\Public Documents\Reckon\PointOfSale\;
    2. Copy the file PointOfSale.ini to this directory then rename the copy by adding .OLD to the end of the name;
    3. Open the file PointOfSale.ini
    4. Under [AdminDatabase], blank the database line: DatabasePath=C:\Reckon\Retail Point of Sale Professional 2012-13 Administrator\QBPOS.PDB;
    5. Under [TerminalDatabase] delete the database  line DatabasePath=C:\Reckon\Retail Point of Sale Professional 2012-13 Administrator\QBPOS.PDB;
    6. Close the file.
    7. Start up Retail Point of Sale and create a new Database file. 

 

Additional Information

You may want to leave the upgraded QuickBooks company file in the same location and save a backup of the previous version in another directory. 

If you want to start afresh in a new folder, copy the entire old folder to another location, upgrade the QuickBooks company files and delete the remainder files.
