Edit or delete an item in Reckon One

Learn how to manage and updates items (products and services) in Reckon One, and how to view item history and reporting. You may need to update or remove items as your business changes, for example, due to pricing updates, discontinued products or services, or to correct setup errors.

This feature is available on all accounting and Reckon Ultimate plans.

Edit an item

To edit an item:

  1. In the Day to day menu (Business section), select Items.
  2. Select the item you wish to edit.
  3. Make necessary changes, making sure required fields are entered.
You cannot change the Item type if the item has been used in a transaction.
  1. Click Save & Close to save the item and return to the Items overview, or from the dropdown menu select:
    1. Save & New to save the item and start creating a new one.
    2. Save to save the item and keep it open for further editing.

Delete an item

Note: You can only delete an item if it has not been used in any transactions. If the item has been used, you can mark it as Inactive instead.

To delete an item:

  1. In the Day to day menu (Business section), select Items.
  2. Either:
    1. Select the checkbox next to the item and click Delete at the bottom of the items list
    2. Click on the Item to open it, click on the Options menu (3 dots in the top right) and select Delete.

Make an item inactive

You can make an item inactive if you aren't using it anymore, but you can't delete it because it's been used in a transaction. Making an item inactive means that it will still exist, but won't be available for selection in any screen in Reckon One.

To make an item inactive:

  1. In the Day to day menu (Business section), select Items.
  2. Either:
    1. Select the checkbox next to the item and click Mark as inactive at the bottom of the Items list
    2. Click on the Item to open it, click on the Options menu (3 dots in the top right) and select Mark as inactive.

View item history

To view item history and notes:

  1. In the Day to day menu (Business section), select Items.
  2. Click on the Item to open it, click on the Actions menu (3 dots in the top right) and select View history.

View sales activity and amounts for an item

You can access the Sales by item report directly from an item:

  1. In the Day to day menu (Business section), select Items.
  2. Click on an existing Item to open it.
  3. Click View transactions in the top right. This will open the Sales by item report, filtered for the specific item.
