Question

When upgrading: ERROR: You cannot upgrade a data file while an Accountant’s Copy Exists.

Answer

In order to amend this problem you need to do the following (In Brief): 1.Re-install the last version of QuickBooks you were running (Normally 8.1). 2.Open your data file in this version. 3.Either: a.Cancel Accountants Copy. b.Import Accountants Changes. To do this (Step – By Step). Re-install the last version of QuickBooks you were running (Normally 8.1). Note: In some cases, in order to install version 8.1 of QuickBooks, you may need to install version 7 register it, and then install version 8.0 and 8.1. NB: Simply, try Installing version 8.0 and if you don’t get an error (Unable to detect a previously registered copy of QuickBooks) then you will able to install without using version 7 first. I. Insert QuickBooks Version 7 or 8 CD (Depending on above) and follow the installation instructions. II. Once the QuickBooks 8.1 is successfully installed, open it. III. Open your Current QuickBooks file. You should notice at the top of the screen a message (Accountant’s Copy Exists). IV. Go to the file menu and down to “Accountant’s Review”. From here you have two options: 1. Cancel Accountants Copy: This option should only be used when your accountant is not going to send you the changes that they have made. 2. Import Accountants Changes: This option should be used when your accountant sends you a disk with the changes they have made to the file. V. Backup your data to a Separate File. (Don’t overwrite your previous backup. Either rename the backup file or use a new Floppy Disk). VI. Re-Install QuickBooks 2002 as per normal installation instructions. VII. Continue to upgrade file as per usual.
