Sharing QuickBooks in Windows 2000 network

Question

Why do i recieve one of the following messages when a user trys to log into my QuickBooks data file? 

1. The file is being used by a user in single user mode and that it should be accessed in multi user so it can be shared by other users.

2. You do not have permission to open this file and see the owner of the file or administrator to obtain this permission.

Answer

This error relates to the level of user permissions setup on folder containing the QuickBooks datafile. To share a QuickBooks data file correctly over a network;


1) On the computer that the datafile is stored on, open Windows explorer.
2) Right click on the folder that the QuickBooks datafile is saved in. 
3) Select Sharing. 
4) On the Sharing tab make sure that the folder is being shared (Choose "Share this folder").
5) Click on the Permissions button. 
6) Make sure that all users sharing the file are listed on the names of users with share permissions 
7) Add or remove users by using the buttons on the right-hand side.
8) Highlight one of the users and below where permissions are set, all users must have ticks on
Allow "Change" and "Read".
9) Click OK once finished 
10) Click on the Security tab and make sure QuickBooks
users are on the list.
11) Permissions on users must be set to a minimum of "Read
& Execute", "List Folder Contents", "Read" and "Write" 
12) Click Apply and OK when finished and close the Folder
Properties screen.
13) You may now begin accessing the datafile in multi-
user mode.
