Customise purchase order templates in Reckon One
Learn how to customise the design and content of your purchase order templates in Reckon One, so your purchase orders reflect your brand and show suppliers exactly what they need to know.
This feature is available on Accounting Premium and Reckon Ultimate plans.
Before you start
You’ll need to enable purchase orders in your book first.
Customise the design of a template
Design settings control the look and feel of a template, including the font, colour, logo and header image used on your purchase orders.
To update the look and feel of a template:
- Click the Administration menu (cogwheel icon) in the top right of Reckon One, then click Settings.
- In the Day to day section, select Money out.
- Click on Purchase orders to expand the section.
- Click on Manage templates.
- From the Template dropdown, select the template you want to customise.
- Select the Design tab.
- Select a Font and Size to match your branding and style preferences.
- Under Feature colour, select a Colour to change the colour of key elements in the template.
- Under Company logo, drag and drop a logo or browse for a file. Supported file types are BMP, PNG, JPG and GIF, up to 5MB.
- Under Header image, drag and drop an image, or browse for a file. This displays at the top of the purchase order, running across the full width of the page.
- (Optional) To see your changes in the preview, click Refresh preview in the top right. You can also click Print to see how the purchase order will appear printed.
- To save your changes, click Save.
Customise the content of a template
Content settings control what information appears on a template, from your company and supplier details, to the columns and totals (details of the order), to the notes and terms shown in the footer. Content is grouped into 3 sections:
- Header - contains company and supplier information, and high-level purchase order details
- Table and totals - contains details about the goods and services being ordered
- Footer - contains notes, payment notes, and terms and conditions.
To access these options:
- Click the Administration menu (cogwheel icon) in the top right of Reckon One, then click Settings.
- In the Day to day section, select Money out.
- Click on Purchase orders to expand the section.
- Click on Manage templates.
- From the Template dropdown, select the template you want to customise.
- Select the Content tab.
Customise the header (company, supplier and purchase order details)
- Click on Header.
- Under Your company details, select the checkboxes for the details about your business you want to show as the sender on the purchase order, including Company name, Physical address, Delivery address, ABN, Phone number, Email and Website. The information will populate based on the details saved in your book settings.
- (Optional) Select Custom text to add your own text, and enter it in the field provided.
- (Optional) Select Create custom field to add another company-related field to your Book settings and have it display on purchase orders using this template. You'll need to go and populate this field in Book settings - learn more about custom fields.
- Under Supplier details, select the checkboxes for the supplier-specific information you want to display, including Bill from (postal address) and ABN.
- Under Purchase order details, select the checkboxes for the purchase order-specific information you want to display, including Purchase order date, Purchase order number, Expected delivery date and Reference code.
- (Optional) To see your changes in the preview, click Refresh preview in the top right. You can also click Print to see how the purchase order will appear printed.
- To save your changes, click Save.
Details of goods and services being ordered
- Click on Table and totals.
- Under Table properties, select the checkboxes for the columns you want to include in the purchase order grid, including Project, Item, Item price, Description, Quantity, Tax code, Tax and Amount. Drag the slider next to a column to adjust its width, where available.
- Under Table totals, select the checkboxes for the totals you want to display, including Subtotal, Tax amount, Balance and Total (excluding tax).
- (Optional) To see your changes in the preview, click Refresh preview in the top right. You can also click Print to see how the purchase order will appear printed.
- To save your changes, click Save.
Choose what appears in the footer
- Click on Footer.
- Select Notes to include a notes area on your purchase orders, and enter any Default notes you’d like to prefill (optional).
- Turn on Terms & conditions to attach your terms and conditions to a separate page of the purchase order. Enter your terms in the text box provided, using the formatting tools to add bold, italics, underline and lists. Click Expand to edit your terms in a larger window.
- (Optional) To see your changes in the preview, click Refresh preview in the top right. You can also click Print to see how the purchase order will appear printed.
- To save your changes, click Save.
