Copy details from previous invoices in Reckon One

Learn how to fill in a new invoice using details from a customer's recent invoices, one of their recurring invoices, or the items you invoice them most often, so you're not typing the same rows over and over.

This feature is available on all accounting plans, with extra functionality on Accounting Premium and Reckon Ultimate plans.

Before you start

The following features appear once you've selected a customer for an invoice, as they're based on that customer's previous invoices.

Your Reckon plan determines which features you have access to:

  • Recently invoiced (the customer's last 5 invoices) is available on all accounting plans
  • Recurring invoices is available for Accounting Premium and Reckon Ultimate plans
  • Frequently used items is available for Reckon Ultimate plans only.

To view these features:

  1. In the Day to day menu, select Invoices, then click Create.
  2. Select a Customer.
  3. Click Add from recent.

If one of these features isn't included in your plan, it will show a lock and an Upgrade icon instead. You can upgrade your plan in the Reckon Customer Portal.

Add rows from recent invoices

This feature lets you add items and accounts from your 5 most recent invoices straight into an invoice you're working on.

If you haven't invoiced the customer before, the menu will say 'No recent invoices' instead.

  1. In the Day to day menu, select Invoices, then click Create.
  2. Select a Customer.
  3. Click Add from recent and select Recently invoiced.
  4. The items and accounts from the customer's last 5 invoices are listed, grouped by invoice number
    1. To narrow the list down, select an item type (Product (non-inventory), Product (inventory) or Service) or use the search bar.
  5. Using the checkboxes, select the rows you want to add. To select every row from one invoice, tick the checkbox next to the invoice number.
  6. Click Add items.

The rows are added to your invoice. Check and update the quantities and prices before you save.

Copy a recurring invoice

If you've set up a recurring invoice for the customer, you can use it as a template for a new invoice.

Copying a recurring invoice replaces everything already on the invoice except the invoice date. Make sure to copy it before you add more rows to your invoice.

  1. In the Day to day menu, select Invoices, then click Create.
  2. Select a Customer.
  3. Click Add from recent and select Recurring invoices. The number next to it shows how many recurring invoices the customer has.
  4. Select a recurring invoice.
    1. Use the search bar or the Scheduling filter to find the right recurring invoice.
  5. Click Copy.

If you've already entered details on the invoice, a message will appear warning you that those details will be overwritten. Click Overwrite to continue. The invoice details and item rows are then copied from the recurring invoice.

Add frequently used items

This feature lists the items and accounts you've used most often on invoices to this customer so they can be easily added to your invoices.

  1. In the Day to day menu, select Invoices, then click Create.
  2. Select a Customer.
  3. Click Add from recent and select Frequently used items.
  4. Use the checkboxes to select the items you want to add to your invoice.
    1. To narrow the list down, select an item type (Product (non-inventory), Product (inventory) or Service) or use the search bar.
