Set up a recurring transaction in Reckon One

Learn how to set up a recurring invoice, bill, payment, receipt or journal in Reckon One, so it’s either created automatically on a schedule or saved as a template to reuse whenever you need it.

This feature is available on all accounting plans, with extra functionality on Accounting Premium and Reckon Ultimate plans.

Create a new recurring transaction

  1. In the Day to day menu, select Business, then Recurring Transactions.
  2. Click to Add invoice or the arrow next to it to select another recurring transaction type (bill, payment, receipt or journal).
  3. Enter a Recurring transaction name. This helps you find the template later. Enter a name you'll recognise, such as "Monthly rent – North Sydney".
  4. If you're on the Accounting Premium or Reckon Ultimate plan, in the Scheduling field, select Scheduled to have the recurring template create transactions automatically, or Unscheduled to have it saved for use on demand only. If you’re on Accounting Plus, you won’t see the option to select Unscheduled – your template will be set to Scheduled as this is the only option available on your plan.
    For Scheduled recurring transactions, set the conditions:
    1. (Optional) If creating a recurring scheduled invoice, select Email invoice automatically so that when an invoice gets created from the recurring template, it gets emailed to the customer automatically.
    2. Frequency: enter a number and select how often you want the transaction created – days, weeks, months, or the last day of the month. For example, enter 2 and select weeks to have the transaction created fortnightly.
    3. Start date: select the date you want the first bill created. The start date can't be earlier than today, as Reckon One doesn't create transactions with a date in the past.
    4. Ends: choose when the template stops creating transactions:
      • After: set the number of transactions to create. The template is set to inactive once it reaches that number.
      • At date: set the date of the last transaction. No transactions are created from the template after this date, and the template will become inactive at that date.
      • Never: the transaction keeps being created at the set frequency indefinitely.
  5. Complete the transaction’s details the same way you would for any transaction. There will be a few things missing that you'd normally find in a typical transaction - things like transaction date, due date and transaction number. That's because they aren't relevant to setting up a recurring template. They'll be present on transactions that are created from the template.
    Scheduled recurring transactions won't be created automatically if the contact, classification, account, bank account (for payments and receipts), item, project or tax code used in the template have been made inactive or deleted. Reckon One sets the template to inactive when this happens.
  6. Click Save.
You can also create a recurring transaction template from an existing transaction (invoice, bill, payment, receipt or journal). From the existing transaction, click Set as recurring. Fill in the recurring details, the same as if you were creating a recurring transaction from scratch, then save.
