Email Payslips on Payroll Premier

Question

Why am I not able to email payslips in different templates, in Reckon Payroll Premier? I can print them on different templates including my own customised templates. However, when I email them, it always selects the same template, which I did not select or cannot change.

Unfortunately, there is only one template for the email payslips in Reckon Payroll Premier.

Payroll premier will by default select same Payslips template for email, and cannot be changed to any other template.

Workaround:

Option A:

Workaround for this is to print the payslips in the templates you wish, scan them individually and email them, manually.

Option B:

This option is to print the Payslips to PDF and emailing them individually. However, notice that when printing Payslips it will print all the payslips as one single continuous file. You will then have to break it down to separate payslips, by printing it further down to separate PDF files.

This option could be lengthy and time-consuming and may not be suitable for everyone. However, it is economical on saving your print job and manually scanning the payslips, as option 1 suggested.

You will need a PDF printer installed.

Detailed steps:

1) Change the preferences to print 1 payslip per page,

2) Click on Payslips to bring it up.

3) Go to File and Print Setup. Change the Printer to the PDF writer you have. (If you do not have any PDF writer, we recommend you get one. There are few Free PDF writers available online.)

4) Click OK to print the Payslips to PDF.

5) You will be prompted to enter the file name, enter the name and save it to your desired location. This will create a single PDF file for entire employee’s pays, who are on this pay run.

6) You will now have to separate the payslips to individual employees PDF file.

i. Open the PDF file with entire payslips in your PDF viewer

ii. To print each page to the separate PDF file, go to page you wish to print

iii. Go to File menu on top and Print.

iv. Under Printer select your PDF printer.

v. Under Pages to Print select pages and enter the page number of the payslips you are printing. eg.‘1’

vi. Click on Print. You will be prompted to enter the file name. Enter the name of the employee whose pay is on this page.

vii. Click on save.

viii. Repeat the step 4 to 7 for all the pages in the file.

You have now successfully saved the separate payslips for each employee. You can now email them separately.
