Editing a Pay does not change the YTD figures on the payslip in Payroll Premier

Question

When I edit a processed pay, why don’t the year-to-date figures on the payslip change to reflect the adjustment?

Answer

When you edit a processed pay by opening the pay record from the Show Employees Pay on the List Employee screen, the changes there will not be reflected in year-to-date figures on the payslip.

 

Workarounds

Now that the pay has been adjusted, do the following to have the changes reflect in the YTD on the payslip:

1.    File > Rebuild Data Files

2.    Create a backup and save reports

3.    Tick Recalculate YTD Figures box only and click OK

4.    View the payslip with the adjusted YTD figures

 

The best way to change a pay to get immediate adjustment of the YTD on the payslip is to adjust it in the Employee Record:

1.    Click on the employee in the Employee List > History tab;

2.    In the top box, select Gross;

3.    Highlight the pay to change and click Insert YTD;

4.    Tick the box Edit this Pay;

5.    Change the amounts – when you change Gross pay, net Pay will automatically adjust.  If a change in Gross requires an increase in tax, you can enter that change here too.

6.    Click OK and OK again to save and close the module. 

7.    View the payslip with the adjusted YTD figures. 

Note:  subsequent changes to pays will not allow you to use Insert YTD; use Edit instead.
