Employee Notes Patch for Payroll Premier 2011/12

Question

How do I ensure that the Employee Patch applies properly and that my file will be ready to continue with further data?

Answer

The Payroll Premier 2011/12 Employee Notes patch is designed to transfer your employee notes from your 2010/11 (v19) company file to the 2011/12 (v20) company file. 

Note:  If you have already copied your notes from 2010/11 to 2011/12, you do not need to run this patch.

If you have more than one company file with notes for employees, you will need to run this patch again for each company file.

 

Please note that this patch will copy the Notes record in v19 to the corresponding Notes record in v20. 

·         If an employee has no notes in v19 then nothing will be copied across. 

·         If you have added notes to an employee’s record in the v20 file, and that employee had notes in the v19 file, then the v20 notes will be lost as the field is overwritten with the contents of the v19 Notes field.  You should copy these v20-added notes to a Word or Notepad file and copy them back after running the patch.

·         Notes added in v20 for employees who did not have notes in v19 will not be affected.

 

 

Detailed Instructions

1.    Before you start, make a fresh backup of your v20 company file(s) and then close your Payroll Premier application;

 

2.    Download the Notes patch from the Reckon Download Centre at:

a.    https://library.reckon.com.au/library/exe/Patch20_Notes.exe

b.    On the File Download – Security Warning screen, click on the Save button;

c.    Choose to save to your Desktop and click Save;

d.    Close all applications. 

 

3.    Run the patch:

a.    Double click Patch20_Notes.EXE

b.    On the File Download – Security Warning screen, click on the Run button;

c.    Follow the prompts to complete installation of the patch;

d.    During the application,

                                          i.    Windows Explorer will open the Payroll Premier 2011/12 folder on your Desktop (or other location).  You can close this folder by clicking on the red X in the top right corner;

                                         ii.    You will be asked to select the source v19 company file.  By default this file is in C:\QPRollV19\Data. 

                                        iii.    A screen will appear with the names of employees and the notes on their v19 record.  Review the list and click Next to continue. 

If you see: Error L536=Invalid Record Declaration, then you selected an invalid v19 company file.  Click on Back and select a valid v19 company file. 

                                       iv.    You will be asked to select the destination v20 company file.  By default this file is in C:\QPRollV20\Data.  Multi-users should select their network location.   

                                        v.    A screen will appear with the names of employees and any notes that were entered in v20.  Review the list and click Next to continue. 

1.    If notes do appear against an employee, these notes will be overwritten by the patch.  You should stop this installation and copy these notes to Word or Notepad. 

2.    If you receive a message that you selected an invalid file, click on Back and select the valid v20 file. 

                                       vi.    If any Employees names don’t match between the v19 and v20 files a ‘Don’t Match’ window appears listing all the employees that don’t match. Notes for these employees will not be copied.  After applying the patch, copy the employee’s notes from the v19 file to the v20 file using the Windows Copy & Paste commands.  

                                      vii.    If the ‘Don’t Match’ window appears but is blank it is because an employee listed in v19 does not exist in v20

4.    Open your v20 company file and check that notes have come across. 

5.    If you have more than one company file with notes for employees, you will need to run this application again for each file. 

                                          i.    Click on your Payroll Premier 2011-12 folder on your Desktop and click on Patch20_notes.exe to run the application again. 

                                         ii.    Alternatively, click on Start > All Programs > Payroll Premier 2011-12 > Payroll Premier 2011-12 Employee Notes.

 

 

Additional Information

When uninstalling Payroll Premier 2011-12, the Employee Notes patch will also be uninstalled.  If you get a message:  Location is not available; just click OK and the uninstall will proceed.
