Printing to PDF on Quickbooks Hosted.

Question

How can I print my report and other documents to a PDF file on Quickbooks Hosted.

Answer

There are a couple of ways you can save a file as a PDF

·         The QuickBooks function Save As PDF;

·         Save to a PDF writer on your local PC;

·         Save to an SD card on your mobile device (Android only). 

 

QuickBooks: Save as PDF

QuickBooks provides a Save As PDF function to save your document or report as a PDF file:

File > Save As PDF > select your location

Generally, save your PDF file to your Hosted Q-drive

You can save it directly to your local drive, provided the file is not larger than a couple of hundred kilobytes. 

Otherwise, save it to the Hosted Q-drive then use Ctrl+C and Ctrl+V (or Command+C and Command+V) commands to copy the file to your local PC.

 

Print to a PDF writer on your local PC

1.    You must have a PDF writer installed on your local PC;

2.    Open your document or report and select print, and select your PDF writer as the printer;

3.    Select a location on your local PC.

(care, if the document or report is large it may take a long time to create)

 

Send an email with a PDF attachment

As emailing from QuickBooks requires a PDF to be created, you can email the document or report to yourself.  Access the PDF from your email box.   

 

Save a PDF to an SD card on an Android mobile device. 

If your Android mobile device has:

·         an SD slot;

·         a Save to SD Card function

·         and you have an SD card;

then you can save your PDF file to the SD card directly from QuickBooks with its Save As PDF function.

(iPad and iPhone do not have a SD Card facility)

1.    Enable read/write access to the SD Card in the Citrix Receiver:

a.    Open the Citrix Receiver from your Menu Screen and tap on the Settings button;

b.    Session Options > SD Card Access;

c.    Tap on Full Access settings.

2.    Log into QuickBooks Hosted

3.    Open your document or report

4.    File > Save as PDF

5.    In the drop down menu select Local Disk C on a long name of alphanumeric characters – this represents your SD Card;

6.    Select a folder on SD Card and give a name to the PDF file, such as ReckonInvoice.pdf

7.    Close Hosted.

 

Before you can view the PDF on your Android mobile device, you will need additional applications on your device:

1.  The manufacturer’s file explorer;

2.  If your device does not have a file explorer you can download a free one like ES File Explorer from:

3.  PDF Viewer App like Office Suite (free) or Pro (paid) from:

To view the PDF on your device:

1.    Launch your PDF Viewer App or File Explorer;

2.    Go to your SD Card folder and tap on the PDF file.
